Participant Guide
For On-site Participants
Reception
- Please check in at the 7F Lobby as follows:
- • Do not enter the lecture hall before reception
- • Pick up your name badge at the reception
- ◦ Name badges are arranged in alphabetical order
- ◦ Please contact reception if you cannot find your name badge
- • Show your name badge and photo ID (My Number card, passport, driver's license, employee ID, student ID, etc.) to the reception staff
- • Students who applied for travel support must bring their student ID
- • After the opening, reception will be handled at the secretariat. Please come directly to the secretariat (Neptune Room)
Services
- Simultaneous Interpretation (TBD)
- • Simultaneous interpretation (Japanese ↔ English) will be provided for lecture sessions at Miraikan Hall
- • Please pick up a receiver from staff when entering Miraikan Hall
- • Please return the receiver to staff when leaving the hall
- Luggage Storage
- • Temporary storage is available for large luggage
- • The secretariat assumes no responsibility for theft, loss, damage, fire, or other damages caused by natural disasters. Please keep valuables with you

- Drinks
- • Coffee and snacks will be available
- • For other beverages, please bring your own or use vending machines on 1F and 7F

Rules and Guidelines
- Participants are requested to wear their name badges at all times within the LADEC venue.
- Photography
- • 7F LADEC Venue
- ◦ Photography during lectures is permitted only in designated sessions.
- ◦ Equipment exhibitions and poster presentations can be photographed with prior permission from exhibitors or presenters. Unauthorized photography is prohibited
- • Miraikan Museum
- ◦ Personal photography is generally allowed. However, some exhibits (such as 6F Dome Theater) may prohibit photography, so please check beforehand

- Smoking
- • Smoking is prohibited throughout the building
- Food and Drinks
- • Only capped beverages are allowed in Miraikan Hall
- • Drinks and snacks are allowed in venues other than Miraikan Hall
- • Please use the Eating Spaces at Miraikan for meals including boxed lunches
- ◦ These areas are shared with general visitors, so please use them minimally
- Mobile Phones
- • Mobile phone calls are prohibited in session rooms. Please set your phone to silent mode
- If you have a fever of 37.5°C or higher or other symptoms, please refrain from attending in person
- Please note that the on-site event may be cancelled due to weather, natural disasters, pandemic situations, social circumstances, or venue policy changes
- • In case of severe weather, we will provide updates approximately one week before the event, with final decisions announced about two days before
For Online Participants
- • Lectures will be held in 3 venues (Miraikan Hall, Saturn Room, Innovation Hall)
- • Online streaming will be provided via Zoom
- ◦ Zoom connection details will be shared with participants before the event
